Confirming your Bookings

Communication is a key part of our relationship, and totally essential for all aspects of a production, from talent scouting to shoot day!
Casting send us bookings which we confirm with you before confirming with casting.

Call times are sent to us and you the night before your shoot day.  It is vital that we know you are all set and ready for your day on set so we can let casting know that their extras/cast will be at location on time, which is why your call times are added to your HeyCast Calendar as soon as we have them.

Your bookings in HeyCast are updated with your call times and you’ll receive an email with the call time which has a “CONFIRM CALL TIME” button in it.  You must confirm your call times because that enables us in turn to tell casting you’ve confirmed your call times.  You can do this via the button on your email, or directly in your HeyCast Calendar.

Request a replacement within 24hrs of your booking ONLY if you are sick, a family member is sick or you have another unavoidable reason for withdrawing. You MUST let us know so we can tell casting and they can make a contingency plan on set without you.  The production team are relying on you so if you are unable to attend for ANY REASON you must request a replacement.  Doing this within 24hrs of your shoot day needs to be done directly with us – via an email, WhatsApp message or phone call.  It is NOT ok to change your mind about your booking, the entire production are relying in their Cast and Extras to be reliable and show up.  Your call times will always come with a phone number for your on set contact – ideally let them know too.

No Shows are people who don’t show up for their shoot day and don’t let their agent or casting know.  If you are a ‘no show’ for any production we booked you on to, you’ll be required to have an excellent reason.  ‘No Shows’ are given a warning and will be released for any additional deviation from the guidelines we have set to ensure our Team InTouch AND The Production Team are not let down again.
